Documents, scanning and OCR

Upload, scan and let AI read invoices, receipts and statements — then export to Excel.

Document intelligence turns paper into structured data. Photograph or scan a receipt, invoice or statement, and the platform reads the supplier, date, net/VAT/gross amounts and line items — ready for you to review.

Uploading documents

  • From the Practice → Documents area, upload a PDF, photo or scan.
  • The scanner bridge (below) sends scans straight from an office scanner.
  • Clients can also upload documents to the client portal.

How OCR works

  1. The document is processed by the OCR engine.
  2. Extracted fields are shown with per-field confidence scores, so you know what to double-check.
  3. You confirm or correct the details before anything touches your records.
  4. Reviewed documents can be exported to Excel with all the fields for a client.

Using the Scanner Bridge

The Scanner Bridge is a tiny Windows app that connects your office scanner to the portal:

  1. Download it from the Downloads page.
  2. In the staff console go to Practice → Scan devices and register the scanner (copy the one-time device token).
  3. Configure the bridge with that token.
  4. Scan a document — it uploads straight to the documents area and into OCR.

Document statuses

  • uploaded / processing — received and being read.
  • review_required — extracted, waiting for you to confirm the details.
  • approved / rejected — your decision.
  • duplicate — a match to an existing document was found.

Tips

  • Photograph receipts straight on a phone in good light — flat and evenly lit works best.
  • Check the confidence scores: low scores mean double-check that field.
  • Export a client's scanned records to Excel for review or handover.
