Estimates and quotes

Quote work, get client approval in the portal, and convert to an invoice.

Estimates (quotes) let you price work before it happens. When a client accepts, you convert it to an invoice — no retyping.

Creating an estimate

  1. Go to Accounting → Estimates.
  2. Click New estimate.
  3. Choose the client (search to find them quickly).
  4. Set the estimate date and an optional expiry date.
  5. Add line items — same as invoices: description, quantity, unit price and VAT.
  6. Click Create estimate.

What happens next

The estimate is saved as draft. When you are ready to send it, the client can accept or decline it in their client portal — they see the estimate number, total and expiry, and click Accept or Decline.

Converting to an invoice

Once a client accepts (or you have their approval):

  1. Go to Accounting → Estimates.
  2. Find the accepted estimate.
  3. Click Convert to invoice — a new draft invoice is created with the same lines and amounts.
  4. Open Invoices, review, add a due date if needed, and it is ready to send.

Statuses

  • draft — not yet sent.
  • sent — awaiting the client's decision (shown in their portal).
  • accepted — approved; ready to convert.
  • declined — the client said no.
  • invoiced — converted; the linked invoice number is shown.
  • expired — past its expiry date.

Tips

  • Keep estimates in sent until the client has decided.
  • The client sees estimates in their portal automatically — no emails or chasing.
  • Once converted, the estimate links to the new invoice so you can always trace it.
