Workflows and deadlines

Keep jobs on track with workflow templates, tasks and automatic deadline reminders.

Workflows and deadlines stop things slipping. Set up the jobs your practice runs, let the platform track tasks and dates, and get reminded when deadlines approach.

Workflows

  1. Go to Practice → Workflows.
  2. Build a workflow with stages and tasks (for example, onboarding: collect details → verify ID → open records → first review).
  3. Run an instance for a client when the work starts.
  4. Track progress as tasks are completed.

Tasks can link to client requests and documents, so a task's status reflects the real work.

Deadlines

  1. Go to Practice → Deadlines.
  2. Add statutory or recurring deadlines for a client (for example, VAT return due date, confirmation statement).
  3. Each deadline has a reminder lead days setting.
  4. As a deadline approaches, the automation engine notifies your team so nothing slips.

Recurring deadlines re-appear automatically on their schedule.

Automation reminders

The scheduled-jobs engine watches your deadlines (and overdue invoices and bills) and raises notifications. See the Scheduled jobs guide for how this works.

Tips

  • Attach workflows to client services so recurring work starts the right way every time.
  • Set reminder lead days based on how early you need to act.
  • Use the Intelligence worklist to see deadlines that need attention today.
